Customer Order Management Policy

Before Sapona accepts an order or change, the requirements are adequately defined and documented. For orders or changes received verbally, Customer Service maintains an order form documenting the requirement. A computerized master list and inventory of all product codes and descriptions is maintained to insure that the customer description of the product desired is consistent with the product code provided. These codes and customer lists also document the sales representative and contact for communication with the customer.

Sapona's policy is to carry inventory and deliver standard orders from stock within 1 to 2 days, unless otherwise requested. An order is considered completed if +/- 10% to the nearest case is shipped by the scheduled due date, or as specified by the customer. If inventory is not on hand, Sapona reviews manufacturing capability to produce the requirement and then gives the customer an estimated delivery date. Sapona may buy processed yarn on the outside to repack and resale. If there are any delays or differences in the order and what will be shipped, the customer is contacted immediately. Sapona's procedures document how orders are reviewed and amended. Customer Service notifies customers of changes in the raw material merge, and significant process changes in advance and provides samples if required so the customer can evaluate the impact of the change.

Orders for samples of new products are communicated in writing or via email to the appropriate departments. The QC/R&D Manager maintains a database to track details of all sample orders. Sapona has procedures for reviewing, amending, and coordinating sample order requirements. Sapona prides itself on quick response to sample requests.

Sapona clearly communicates in writing any limitations on end use of product. Sapona does not provide off-grade or second grade quality unless authorized by the customer.
